Here’s a scenario we see more than we’d like.

That’s usually the moment someone suggests bringing in a venue sourcing agent — and that’s usually the moment the assumptions kick in. It costs more. I’ll lose control. It’s only worth it for big events. I can do it faster myself.
We hear all of these regularly. Here’s what’s actually true.
“It’ll cost me more to use an agent”
This is the one that comes up most, and honestly, we get why.
Agents are paid by the venue, not by you. There are no fees on the client side, no mark-ups on pricing, nothing added to the quote. The rate you see is the rate you pay.
Beyond that — because we’re working with venues constantly, we can often negotiate deals that simply aren’t available to planners going direct. When you have a real relationship with a venue’s events team, you can pick up the phone and find solutions that don’t exist on a rate card. Tight budgets, short timelines, unusual requirements — these are exactly the situations where those relationships do the most work.
One more thing worth knowing: the commission we receive is the same regardless of venue or booking value. There’s no incentive to push a more expensive option. It’s not how we work, and it’s not how we’ve built the business over sixteen years.
“I’ll lose control of my event”
This is the one that surprises people most once they’ve actually worked with us.
Here’s how it actually works: we handle the part you don’t want — the hours of outreach, the chasing, the site inspection coordination, the collating of proposals into something you can actually compare. After that, every decision is yours. We don’t manage your event. We don’t run the day. We find the right room and hand it over.
And because we’re not affiliated with any single venue, we can give you a genuinely honest view. If you’ve been through a round of site inspections and nothing has really landed — we’ll say so. We’d rather keep looking than have you settle for something that’s almost right. That kind of transparency is only possible when you’re not trying to close a booking for your own benefit.
“Agents just push the venues that pay them the most”
A fair thing to wonder about. If the model runs on commission, doesn’t that create a bias toward certain venues?
In practice, no. The priority is always finding the venue that fits the brief. If the right venue for a client doesn’t pay commission, it still goes on the shortlist. For clients we’ve worked with for years, the relationship is worth more than any individual booking — and occasionally that means we forego a commission entirely. It’s not ideal business, but it’s the right call.
Think of it the way you’d think of a travel agent. They work across every airline and hotel, not just the ones with the best margins. The value is in finding the right fit — not in steering you toward whatever’s most convenient for the agent.
“It’s only really worth it for big events”
Not true — and a typical week proves it.
We regularly move between a 300-person conference one day and an 11-person executive meeting the next. The process is the same, the attention is the same, the outcome focus is the same. The value of having someone who knows the market, knows the venues, and can move quickly doesn’t scale with headcount.
For very small events where there’s no commission involved, we’ll often still help — sending through a few suggestions, pointing in the right direction. Not because it makes great business sense in that moment. Because that’s what the relationship looks like.
“Going direct is faster”
This is the assumption that bites people most often.
Venues are busy. A planner emailing directly doesn’t carry the same weight as an agent they know and work with regularly. The scenario we opened with — three venues, a week and a half, no response — is a real one. It happens constantly. One call from someone with an existing relationship, and information is moving within hours.
There’s also the comparison problem. When you’re chasing venues yourself, every proposal comes back in a different format with different line items. You end up trying to compare things that aren’t really comparable. “What about AI? Can’t I just use that?”
Honestly, yes — to a point.
AI is useful for getting a starting list, especially in a destination you’re not familiar with. It can surface basic capacity numbers and give you something to work from. We’ve tested it ourselves with real client briefs.
Where it falls apart: availability, budget fit, who to actually contact, and whether the space will genuinely work for the specific setup you need. The list is fine. The list is rarely the hard part.
What AI can’t do is tell you that a venue’s service has shifted in the last six months. Or that the photos on the website don’t match what you’ll find when you walk in. Or that there are noise restrictions that will affect your run sheet. Or that a particular coordinator there is exceptional and worth asking for by name.
It doesn’t have the inside knowledge. And in hospitality, the inside knowledge is often everything.
